High volume is what breaks the record
Logistics contractors do not usually fail on a single complicated award. They fail because there are hundreds of straightforward ones, and documentation slips first wherever volume is highest.
Quantity rather than complexity
A logistics contractor with four hundred live awards has a different problem from one with four complicated ones. Nothing is individually hard, and that is precisely why it slips.

Per award effort stays near zero
When a template applies itself on creation, the marginal cost of documenting the four hundredth award is the same as the first.

Attention goes to the exceptions
Nobody can review four hundred awards. What is possible is reviewing the handful that stalled or lost an owner, provided those surface on their own.

Retrieval does not care how many there are
Producing the file for one award among hundreds is a filter. The volume that makes documentation hard makes no difference at all to retrieval.
What high volume does to a manual process
Every one of these works fine at twenty awards a year and fails somewhere between there and four hundred.

A folder per award
Somebody creates the structure, copies the checklist and names things according to whatever convention they remember, four hundred times.

Applied automatically
The template attaches on creation, so the four hundredth award has the same phases, rules and reviewers as the first.

Sampling by hand
Checking a proportion by opening them one at a time, which means most problems are found by chance rather than by design.

Exceptions surfaced
Stalled and unassigned awards are flagged, so the review population is the handful that need attention rather than everything.

Documents chased per award
The same supplier appears on thirty awards, and their insurance gets requested repeatedly by different people who did not know it was already held.

One supplier record
Documents are held once against the supplier and tracked to expiry, regardless of how many awards they appear on.

Depends which award
Finding the file for one award among hundreds means knowing where it was filed and by whom, which nobody reliably does.

A filter, at any volume
Search by award, supplier or period, and the number of records makes no difference to how long it takes.
Six places quantity causes trouble
Six places quantity causes trouble
Manual structure creation multiplied by hundreds is where most of the effort disappears.
- Setup per award
- Inconsistent checklists
- Duplicate supplier chasing

Setup per award
Manual structure creation multiplied by hundreds is where most of the effort disappears.

Inconsistent checklists
Different buyers using different versions, which nobody notices until a review compares them.

Duplicate supplier chasing
The same insurance requested repeatedly because it was held per award rather than per supplier.

Stalled awards unnoticed
A handful stop moving among hundreds, invisible unless something surfaces them.

Unassigned work
Awards without an owner, which is easy to miss when there are a lot of them.

Retrieval by memory
Finding one file among hundreds depends on somebody remembering where it went.

Learn moreA handful have stalled
Surfaced automatically rather than found by opening awards at random.
Learn moreOne supplier, thirty awards
Documents held once against the supplier and chased once rather than thirty times.
Learn moreProducing one file among hundreds
A filter, taking the same time whether you have forty awards or four hundred.
Learn moreA seasonal peak arrives
Templates carry the load, so documentation quality does not move with volume.
Learn moreA delivery record is queried
Recorded against the award and modification it relates to rather than filed by date elsewhere.

Our problem is volume rather than complexity. Does that fit?
How do we keep oversight across hundreds of awards?
Do supplier documents get chased per award?
Does retrieval slow down as we add awards?
Can different award types carry different checklists?
What about delivery records?
How long does setup take at our volume?
